Privacy Policy

Effective Date:

1. Privacy Commitment

Canadian Recreational Vehicle Owners Alliance ("CRVOA", "we", "our" or "us") is committed to protecting the privacy of our members, volunteers, Directors, officers, donors, event participants, sponsors, partners and website visitors. We recognize the importance of protecting personal information and are committed to collecting, using, disclosing, retaining and safeguarding personal information responsibly and in accordance with applicable Canadian privacy legislation. Depending on the nature of the activity and the jurisdiction involved, this may include the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial or territorial privacy legislation.

Canadian Recreational Vehicle Owners Alliance will apply the principles of reasonable collection, appropriate use, limited disclosure, reasonable safeguards, retention limits, transparency, access and correction to personal information in its possession or control.

2. Personal Information We May Collect

  • communications between you and Canadian RV Owners;
  • information necessary to administer rallies, events and activities; and
  • other information reasonably necessary to conduct the activities of the Corporation.

We will limit the collection of personal information to information reasonably necessary for identified purposes.

3. How We Use Personal Information

Personal information may be used to:

  • establish and maintain membership records;
  • process memberships and renewals;
  • administer membership categories;
  • register participants for rallies and events;
  • communicate newsletters, announcements and organizational information;
  • respond to inquiries;
  • administer donations and sponsorships;
  • coordinate volunteers;
  • maintain attendance records;
  • administer member benefits and discounts;
  • verify eligibility for member-exclusive programs;
  • improve member services and Corporation activities;
  • maintain appropriate safety and emergency information;
  • administer the Corporation's website and communications systems;
  • comply with legal, regulatory, accounting and financial requirements; and
  • carry out other purposes for which consent has been obtained or which are permitted or required by law.

We will not use personal information for a new unrelated purpose without obtaining consent where consent is required by law.

4. Consent

Where required by applicable privacy law, Canadian Recreational Vehicle Owners Alliance will obtain meaningful consent for the collection, use and disclosure of personal information. By becoming a member, registering for an event, volunteering, making a donation, participating in a corporation activity or otherwise providing personal information, an individual may provide consent for the reasonable collection, use and disclosure of information for the purposes identified at or before the time of collection, subject to applicable law.

Where a particular disclosure requires separate or express consent, Canadian Recreational Vehicle Owners Alliance will obtain that consent separately.

An individual may withdraw consent at any time, subject to legal, regulatory, contractual, safety or administrative requirements. Withdrawal of consent may affect our ability to provide certain services, benefits or participate in certain activities.

5. Sharing Personal Information

Canadian Recreational Vehicle Owners Alliance does not sell, rent or trade personal information. We may disclose personal information where reasonably necessary:

  • to service providers assisting with membership administration;
  • to payment processors;
  • to website, database, email or communication service providers;
  • to event or rally service providers where reasonably necessary to administer the event;
  • to emergency responders where reasonably necessary to protect health or safety;
  • to professional advisors where appropriate;
  • where required or permitted by law;
  • with the individual's consent; or
  • as otherwise permitted by applicable privacy legislation.

Service providers receiving personal information will be expected to use it only for the purposes for which it was provided and to maintain reasonable safeguards.

6. Member Lists Provided To Partners

Canadian Recreational Vehicle Owners Alliance may, from time to time, share limited information from a current membership list with selected partners who provide member-exclusive discounts, benefits or other member-only opportunities. The sole purpose of such sharing is to enable the partner to verify that an individual is a current Canadian Recreational Vehicle Owners Alliance member and is therefore eligible for the applicable member benefit.

6.1 Limited Information

Only information reasonably necessary to verify membership eligibility will be shared. Where practical, this may consist of information such as:

  • member name;
  • membership number or identifier;
  • membership category; and
  • membership status or expiry date.

Canadian Recreational Vehicle Owners Alliance will seek to minimize the amount of personal information provided.

6.2 Partner Restrictions

Partners receiving member information for eligibility verification will be expected to: use the information solely to verify membership eligibility; not sell, rent, trade or otherwise disclose the information; not use the information for unrelated marketing or solicitation; maintain reasonable administrative, technical and physical safeguards; restrict access to individuals who need the information for verification; and securely delete or destroy the information when it is no longer required for the verification purpose, subject to applicable legal requirements.

6.3 Partner Agreements

Where appropriate, Canadian Recreational Vehicle Owners Alliance may enter into written agreements with partners establishing their privacy, security and permitted-use obligations. Canadian Recreational Vehicle Owners Alliance may suspend information sharing with a partner where it reasonably believes that the partner is not complying with these requirements.

6.4 Advertising and Partner Promotion

Canadian Recreational Vehicle Owners Alliance may permit partners and sponsors to advertise through the Corporation's social media, website, newsletters, publications, events and other communication channels where such activity supports the Corporation's purposes. Providing advertising or promotional opportunities does not, by itself, authorize a partner to use the Corporation's member list for unrelated marketing.

7. Payment Information

Where payments are processed through a third-party payment processor, Canadian Recreational Vehicle Owners Alliance will not ordinarily retain complete credit card information. Payment information may be collected and processed by the applicable payment provider in accordance with its own privacy policy and security practices.

Canadian Recreational Vehicle Owners Alliance will retain only such payment and transaction information as is reasonably necessary for accounting, membership, event administration, tax, audit and legal purposes.

8. Photographs And Videos

Photographs and videos may be taken at rallies, meetings, educational programs, social events and other Corporation activities. Images may be used for: newsletters; social media; the Corporation's website; promotional materials; event communications; publications; and historical or archival records.

Where practical, event participants will be informed that photography or video recording may occur. Individuals who do not wish to appear in photographs or videos should notify the event organizer before or during the event whenever reasonably possible. Canadian Recreational Vehicle Owners Alliance will make reasonable efforts to respect such requests, subject to practical limitations associated with public or large-group events.

Photographs or recordings will not knowingly be used in a manner that is misleading, defamatory or unrelated to the Corporation's purposes.

9. Email And Electronic Communications

Members and subscribers may receive:

  • newsletters;
  • event announcements;
  • membership information;
  • volunteer opportunities;
  • Corporation updates;
  • rally and travel information; and
  • information about member benefits and programs.

Recipients may unsubscribe from non-essential electronic communications using an unsubscribe mechanism where provided or by contacting Canadian RV Owners. Unsubscribing from non-essential communications does not prevent Canadian Recreational Vehicle Owners Alliance from sending communications that are necessary for membership administration, transactions, safety, legal obligations or other permitted purposes.

10. Protecting Personal Information

Canadian Recreational Vehicle Owners Alliance will take reasonable administrative, technical and physical safeguards appropriate to the sensitivity of the information to protect personal information against:

  • unauthorized access;
  • unauthorized use;
  • unauthorized disclosure;
  • loss;
  • theft;
  • misuse;
  • alteration; and
  • destruction.

Safeguards may include appropriate access controls, password protection, secure storage, restricted access, staff and volunteer procedures, contractual requirements and other reasonable security measures. No electronic storage or transmission system can be guaranteed to be completely secure.

11. Retention

Membership applications are stored temporarily in a protected website database accessible to authorized membership volunteers and website administrators. After verifying transfer to CRVOA’s secure member registry, staff can delete the website application and notes. All website applications expire after 30 days regardless of review status; scheduled cleanup removes expired records. Hosting-provider backups and recovery copies may persist under the provider’s retention arrangements and are not individually erased by this tool. Non-contact number reservations remain to prevent duplicate number allocation. The official member registry follows CRVOA’s membership retention policy.

Personal information will be retained only for as long as reasonably necessary to fulfill the purposes for which it was collected, to administer membership and events, to meet legal or accounting requirements, to resolve disputes or as otherwise permitted or required by law. When personal information is no longer required, it will be securely destroyed, deleted or anonymized using reasonable procedures.

12. Access And Correction

Subject to applicable law, individuals may request:

  • access to their personal information;
  • correction of inaccurate or incomplete information;
  • updates to their membership records;
  • information concerning the purposes for which their information is being used; and
  • withdrawal of consent where applicable.

Requests should be submitted to the Privacy Contact identified in Section 17. Canadian Recreational Vehicle Owners Alliance may require sufficient information to verify the identity of the person making an access or correction request.

13. Cookies And Website Information

Our website statistics console records aggregate page views and link clicks, broad device categories, referring-source categories and hours of activity. It does not use analytics cookies or visitor identifiers, or store IP addresses, full referring or destination URLs, or form contents in analytics records. Authorized administrator activity, known bots and browsers sending Do Not Track or Global Privacy Control signals are excluded where detectable. Aggregate statistics are retained for up to 400 days and older totals are removed when collection next runs. Website hosting providers may process technical request information separately to operate and protect the service.

Where the Corporation's website uses cookies or similar technologies, these technologies may collect information such as:

  • browser type;
  • device information;
  • pages visited;
  • date and time of visits;
  • general geographic information;
  • referring website information; and
  • other technical information.

Cookies may be used to:

  • improve website performance;
  • maintain website functionality;
  • understand website usage; and
  • improve user experience.

Visitors may disable cookies through their browser settings, although some website functions may be affected. Where required by law, the Corporation will provide appropriate notice or obtain consent for applicable tracking technologies.

14. Children's Privacy

Canadian Recreational Vehicle Owners Alliance does not knowingly collect personal information from children under the age of 18 for membership purposes without appropriate authorization. Where children participate in Corporation events or activities, personal information will be collected and handled in accordance with applicable law and, where appropriate, through a parent or guardian.

15. Privacy Breaches

If Canadian Recreational Vehicle Owners Alliance becomes aware of a breach of security safeguards involving personal information, it will assess the incident and take reasonable steps to contain, investigate and address the breach. Where required by applicable law, affected individuals, regulators or other parties will be notified. The Corporation may also take steps to prevent similar incidents from occurring in the future.

16. Changes To This Privacy Policy

This Privacy Policy may be reviewed and updated from time to time to reflect:

  • changes in legislation;
  • changes in Corporation activities;
  • changes in technology;
  • changes in partner arrangements; or
  • changes in privacy best practices.

The current version will be made available through the Corporation's website or other appropriate communication channel. Where appropriate and required by law, significant changes will be communicated to members.

17. Privacy Contact

Questions, concerns, access requests or complaints concerning this Privacy Policy or the handling of personal information should be directed to the Canadian Recreational Vehicle Owners Alliance through the Contact form on their website.
